Connecting SalesDoc Architect Quotes with Sales Opportunities

SalesDoc Architect (SDA) integrates with several CRM solutions, allowing users to link SDA quotes with sales opportunities in those CRM solutions, and – where a direct integration is provided (e.g., Salesforce and Tigerpaw) – to push updated quote data back into the opportunity record in CRM.  SDA can also be used to track sales opportunities independently when a CRM solution is not present or SDA integration with CRM is not desired.

The linkage between SDA quote files and CRM opportunities is established when a quote file is created.  When a user saves a new quote file for the first time, a pop-up dialog box prompts the user to associate the quote file with a new, existing or recent sales opportunity.  The options offered by the pop-up dialog vary based on the type of CRM integration…

If you have no CRM (or don’t intend to share information between your CRM solution and SalesDoc Architect) the opportunity ID will be auto-generated by SDA. The following dialog will pop up when a user tries to save a new quote file (or perform a multi-site import), allowing the user to enter new opportunity info in the top portion, after which the opportunity ID will be auto-generated by SDA. Enter in the information you want to save with your opportunity and then click the Associate button to create the opportunity and associate it with the quote file(s).

If you use Salesforce as your CRM solution, you will see the Opportunity ID box below, which allows users to type/paste in the opportunity ID from Salesforce. You can click the “Lookup” button to locate the opportunity ID in Salesforce and return the initial opportunity data (opportunity name, close date, &, etc.) from Salesforce. Users cannot modify the opportunity data in this dialog on their own; it must be pulled from Salesforce. The fields will be visible (greyed out), but are not editable. Users cannot create new opportunities with this dialog; all new opportunities must first be created in Salesforce.

Salesforce users can also push opportunity data from Salesforce to a new SDA quote file via a button on the Salesforce opportunity screen. This will pre-populate the SDA quote file with basic information from the Salesforce opportunity, including the opportunity ID, stage, close date, etc. if populated in Salesforce.

 

Lastly, once quote files are associated with Salesforce sales opportunities, data from the SDA quote files will be pushed back into Salesforce to update theopportunity data stored there.

If you use Tigerpaw as your CRM solution, you will see an Opportunity ID box which allows users to type/paste in the opportunity ID from Tigerpaw. You can click the “Lookup” button to locate the opportunity ID in Tigerpaw and return the initial opportunity data (the name, close date, %, etc.) from Tigerpaw. Users cannot modify the opportunity data in this dialog on their own; it must be pulled from Tigerpaw. The fields will be visible (greyed out), but are not editable. Users cannot create new opportunities with this dialog; all new opportunities must first be created in Tigerpaw.

Lastly, data from the SDA quote will be pushed back into Tigerpaw, updating the opportunity information stored in Tigerpaw.

If you have some other CRM solution you can type in or paste the opportunity ID generated by your CRM solution into SDA so that the opportunity data in SDA and the CRM system can be cross-referenced and cross-matched based on the opportunity ID. Using this dialog, you can also enter/edit data in all of the opportunity fields.
