SDA Cloud End User Functions

You will continue to use SalesDoc Architect (SDA) as you have in the past, with one additional step:

Once the quote file(s) have been associated with the sales opportunity and saved to disk, the updated quote data will automatically be pushed up to the cloud, and the opportunity information is updated.  It’s that easy!

Most of the time you will be manipulating your opportunity data from the SDA Cloud application (see section below for details.) There are a few functions within SDA however, where you can make changes to opportunity data.

Associating Quote Files with Sales Opportunities (from within SDA)

When you create your quote and save it, the following window will open in SDA. You have 3 ways to associate your quote file to an opportunity:

Create New Opportunity

With just one keystroke, you can add a new sales opportunity to SDA Cloud. To set up a new opportunity
(using the quote just saved) follow the outlined steps below:

Search all Opportunities

Users can associate their quote with an opportunity already in the cloud, even if they don’t recall the Customer name. Simply search for the opportunity and associate your quote to it.

Search Recent Opportunities

Users can add multiple quotes to an existing opportunity. Search through the list of most recent opportunities to make your selection.

After quote file is saved, you will be able to see the Opportunity Number assigned to this particular quote, by reviewing the updated quote information.

There are other features within SDA that are effected by SDA Cloud.  Users will be able to see the changes by going to Architect in the toolbar…

Show Opportunity Summary

While in SDA (Quote file) users can view the summary of the Opportunity. This summary will provide you with details such as Company, Opportunity Name, Opportunity ID and more information.

To view the summary:

Go To SDA Cloud

Selecting this function will open an instance of your default web browser and launch the SDA Cloud website. Once at the URL, users will need to login to SDA Cloud using the credentials your administrator provided.

(Re)associate this quote with an opportunity / (Re)associate multiple quotes with an opportunity.

This feature allows users to re-assign the quote you have open in SDA to an oportunity already set up in the cloud.

Change Roll Up Status for this Quote

This feature allows users to change the Roll Up status for the saved quote they are viewing from SDA. If the roll up status is “Y” – which is the default – then quote data for the quote file will be included in the sales opportunity totals. If the roll up status is “N” quote data will not be included in the sales opportunity totals.

SDA Cloud End User Functions

There are several parts to the SDA Cloud screen, the Opportunity Grid, Buttons, Search Feature and Views. The main opportunity grid contains all of your opportunity information and a hyperlink to your SDA quote file(s) associated to the opportunity. In order for a hyperlink to be assigned, your SDA quote file must be saved to a shared or networked drive, someplace that is accessible from the internet. Speak with your IT team and SDA administrator to learn more information.

SDA Cloud Buttons

Add Button – To add a new opportunity to your cloud. When you press this button, a window will pop up for you to enter all opportunity data(you can later associate SDA Quote files to the Opportunity).

Edit Button – Click first on the customer name, then Click the Edit Button. A window will pop up and allow you to change the properties of this opportunity. Users can also select the Opportunity name from grid, and the EDIT box will open.  The data that you change will be pushed down to the SDA quote file the next time you open it from your hard drive, so that the opportunity summary you view from within SDA will reflect the opportunity changes you made in the cloud.

Delete Button – You can delete an opportunity from your cloud, after you delete the hyperlinks to all of the quote files associated with it. You don’t need to delete the quotes from your hard drive, just the hyperlinks to them in your SDA Cloud opportunity grid. If your opportunity has any quotes associated to it, click on the number in the # of Quotes column to open the window with the quote files and hyperlinks. Select the quote files and click the Delete Quote(s) button at the bottom of the window. Then you can delete the opportunity using the Delete Button.

Refresh Button – This updates your opportunity grid with any information that has changed in the SDA quote files linked to opportunities. It maintains the filters and view that you are currently using in your grid.

Export  Button – When you are ready to create reports and graphics on the data in your opportunity grid it’s a simple process. First apply any view that you want to report on. Next click the Export to Excel Button, which creates a csv (comma separated values) file with the current view of the data from your grid. You will be prompted to ‘Open’, ‘Save’ or ‘Save as’ the csv file you just created. Once you open that file, you can access the Excel charting and reporting tools from the Charts menu. (If you do not see the charts menu, check with your IT team or helpdesk.) See also Creating Reports

Using the Opportunity Grid

When you log into SDA Cloud you’ll be presented with your opportunity grid. It will initially be empty until you start saving SDA quote files that are associated with opportunities. This grid is where you’ll be able to view all quote activity, opportunity information and much more. From here you can group, sort and filter data by using the drag and drop feature. You can also edit an opportunity and view the quote data associated with that opportunity by clicking the hyperlink to where the quote file is stored.

Grid Functions

It’s very easy to create a view of your data that provides you meaningful insight to your opportunities and sales pipeline. You can group, sort and filter data on the grid – for example, you can drag and drop the Customer Name column header to group the data by Customer Name, and then click on the filter drop-down at the top of the Close Date column to filter the data to show only opportunities that will close by say, June 10.

Once data has been filtered, the total sell price and total cost at the bottom will be updated to reflect only the filtered data.

From this grid view, you can also:

When you view the quote(s) associated with the opportunity, you can change the rollup status for each quote by clicking the Rollup drop-down for the particular quote.  When Rollup is set to “N”, the quoted amounts will not be rolled up into the totals for the opportunity, which might be appropriate if you have a quote file that is not part of the core solutions, perhaps because it’s an “optional” quote.

None of the other fields in the grid view can be modified, as all of that data is pulled from the associated the Excel quote file(s). However, you can reassign one or more quotes to another sales opportunity, and you can also delete quote data (for one or more quote files) from the opportunity. This will delete the quote data that is stored in the cloud – it will not delete the SDA quote file stored on your hard drive.

Close Date/Stage Type

Users can sort with a new quick-select drop-down that enables users to filter sales opportunities by close date (this month, next month, this quarter, etc.) and sales stage type. Please note the default view is to show “open” opportunities closing this month.

Creating Views

Once you filter, sort, drag and drop, etc. all of the information in your cloud and get it arranged the way you want, you can save this layout in a personalized view. You can have several views saved (they will all appear in the Views dropdown once you’ve saved them), and can also choose one to make as your default view.When you have the grid the way you want it, navigate over to the Views dropdown and select ‘Save Current View As…’ and enter a name for the view.  To return to the original opportunity grid view, click on the Opportunity Management button at the top right side of your screen.
