December, 2008 UpdatesSalesDoc Architect Version: 6.15 SALESDOC ARCHITECT (END-USER) FUNCTIONALITY CHANGESNEW! The total price for options packages will not be calculated on the customer pricing schedule if users do not select any pricing-related options (Show total price at top of schedule, Show extended list price, etc.). In addition, the “associated services/equipment” row will not mention discounts if no pricing-related options are selected. NEW! The Jump button now pulls the Jump point to the very top of the screen for faster navigation. SALESDOC ARCHITECT MANAGER FUNCTIONALITY CHANGESNEW! You can now automatically generate a schedule of supported parts that shows the specific list of parts covered by your support plan. Administrators and users define which parts to include on the schedule by setting a yes/no flag against each Pricing Category that appears on SalesDoc Architect’s Pricing tab. All configured parts that belong to a Pricing Category with Support = “Y” will be included on the schedule of supported parts. Of course, you can choose to import more or less fields of data, but this template lists the most-used fields. Any field in the Parts Master can be added to the import file as long as the first row of the import sheet contains fieldnames that are spelled exactly the same as those in the Parts Master. ************************************************************************** November, 2008 UpdatesSalesDoc Architect Version: 6.1 SALESDOC ARCHITECT FUNCTIONALITY CHANGESNumerous end-user and SalesDoc Architect Manager changes were made in September, and we’d suggesting reviewing these important changes if you are not familiar with them. We’ve also added the following feature to the Options functionality… NEW! You can hold system discount dollars constant across all options by clicking the check box at the bottom of the Options dialog (obtained by clicking the Options button). Normally, the system discount percentage remains the same and as options are added the system discount dollars will increase. By holding the system discount dollars constant, the system discount dollars (instead of the percentage) remains the same as options are added, with the net effect that the system discount percent goes down as options are added. This enables you to capture more profit margin as options are added since the system discount percentage is in effect not being applied to the options. For example, if the sell price of the core solution is $1000 and an additional option costs $500 where the system discount is 10%, under normal circumstances the system discount would be applied to both the core solution and the additional option (with system discount dollars = $100 for the core solution and $50 for the option). If the system discount dollars are held constant, the $100 discount would be applied to the core solution, but the additional $50 system discount for the option would not be calculated. NEW! The Price Book has been modified to extend the length of the part number column as well as to show cents in the MSRP column. We’ve made it easy for you to present different add-on options to your customers with SalesDoc Architect’s new options functionality. Simply select the items that you’d like to present as an option and click the new Options button to associate the items with an options “package”. When you generate a schedule of equipment and services, each options package will appear at the end of the schedule, with pricing subtotaled for each package. The new options functionality intelligently factors in any products or services that are configured by items that have been selected for inclusion in an options package. For more information, please click the Options button, then Help. NEW! We’ve added two new options to the dialog box for the schedule of equipment and services:
NEW! You can now set your default options for the schedule of equipment and services by clicking the SalesDoc Architect button, then Setup, then “Set pricing schedule defaults”. NEW! All tabs that are brought into SalesDoc Architect via the Get Tabs button will be time-stamped with a version date based on the file date of the “raw” tab. When you subsequently open a previously configured SalesDoc Architect file, SalesDoc Architect will check for new tab updates. If a new tab version is found, SalesDoc Architect will turn the “Tab Version:” label red and list the version date of the new version within the tab so that you know that there’s a new version available. Note to SalesDoc Architect administrators: we recommend that you remove “Tab version” from your “raw” tabs as the version date will be auto-generated when a tab is brought into a SalesDoc Architect file. NEW! “Replace tab with new (blank) version” has been added as an option under the “Update tab(s)” button. This enables you to quickly delete the current tab within the SalesDoc Architect file and replace it with a new version of the tab. Please note that the new version will be blank (i.e., with no user inputs) and will require that the user re-enter all information. SALESDOC ARCHITECT MANAGER FUNCTIONALITY CHANGESNEW! Multiple document/part and item/part associations can be quickly imported into SalesDoc Architect Manager using the new import functions found under the Tools menu, eliminating the need to program in the associations one at a time via the Engineering view within the Parts Master. The transition to the new approach is very easy and for the most part automatic. The only exceptions are the following: You will need to enter your Mitel discounts against the new Mitel-HW, Mitel-SW, MitelWD-HW and MitelWD-SW vendor discounts in the Vendor Discount Categories table (found under the Categories menu in SalesDoc Architect Manager). If you use a markup-based approach to calculating Mitel sell pricing, you will also need to enter your default markups in the US Reseller Discount/Markup column for each of these vendor discount categories. You MAY need to re-order how your pricing and vendor discount categories appear in SalesDoc Architect via the Vendor Discount Categories and Pricing Categories tables. For existing quotes, users can either continue to use the old setup or click Update All Tabs to refresh the pricing with the new category structure. If a user has entered any discounts against the old Mitel pricing categories in an existing quote, they will need to reset the discounts under the new approach (NOTE: if the system discount was the only discount applied, then the user will NOT need to reset customer discounts). In addition, the actual costs for these items are imported as well, as the discounts vary by part number and can’t be set at the category level. An “internal” document type has been added to Section Manager, enabling you to generate internal documents like implementation guides, operational procedures, leasing sheets and other non-customer documents. As with other doc section types, you can configure these doc sections to generate in multiple ways (by association with a part number or item type, or by using configuration logic on an Excel tab). This means that you can generate a proposal or statement of work for a particular solution that you’ve configured, then generate the associated “internal” implementation process document (e.g.) with just a couple more mouse clicks! To fully implement “internal” doc types, we’d suggest creating one or more new doc templates (in Template Manager), then updating the DocTemplate formula on the MiscProd tab to configure the appropriate doc template when PropDocType = “Internal”. NEW! Additional networked SalesDoc Architect deployment options are now available, enabling you to more effectively set up a central “SalesDoc Architect server” location for data and/or end-user update files. New this month is an option to maintain and update the SalesDoc Architect data files on an administrator’s machine, then automatically copy the program and data updates to a shared drive. We’ve also added a new PQMgrRequestService application that runs as a service on the SalesDoc Architect server to monitor for requests from SalesDoc Architect Manager clients (i.e., users running SalesDoc Architect Manager on machines other than the SalesDoc Architect server) to create SalesDoc Architect update packages for end-users, back up SalesDoc Architect Manager files and compress the server’s SalesDoc Architect database.
