ARCHITECT MANAGER CHANGES

  • NEW! SalesDoc Architect can now be installed on a multi-user machine (Citrix server, etc.).  Install the setup file and incorporate your company-specific data once, then add additional users by logging into Windows as each new user and simply opening up the SalesDoc Architect application.
  • NEW! You can now password protect the Architect Manager application.  To do so, open up Architect Manager and check the “Require password when opening Manager” checkbox.

VENDOR CONTENT CHANGES – MITEL/INTER-TEL

Engineering and doc section content have been added, corrected and modified as follows:

  • The station port counts have been removed for part numbers 54004811 and 54004701.

ARCHITECT MANAGER CHANGES

  • This version marks the official UPGRADE from PriceQuote to SalesDoc Architect.
  • NEW! An unlimited number of document types (DocTypes) can be created and used as the basis for categorizing document sections.  In the past, the only DocType options were “Proposal”, “SOW” and “Internal”.  You can access the DocType table under Architect Manager’s Documents menu.
  • NEW! Document type groups (DocType Groups) can be created to group several DocTypes together so that output documents can include document sections belonging to more than one DocType.  For example, you can create a DocTypeGroup called “Proposal & SOW” that contains DocTypes “Proposal” and “SOW”.  You can access the DocTypeGroups table under Architect Manager’s Documents menu.
  • NEW! You can set up one or more configuration tabs to be inserted by default into a new quote file.  You can also designate that no configuration tabs will come in by default.  For current installations, the “MiscProd” tab is set as the default tab to insert.  You can access the Default Tabs table under the File menu in Architect Manager.
  • NEW! You can modify the Outputs menu to generate an unlimited number of Excel or Word-based outputs.  For more information, please refer to the Architect Manager help files or help manual.
  • NEW! Manager and end user PDF help manuals are now being automatically distributed to your PQManager\Manuals folder on your SalesDoc Architect Manager (formerly PriceQuote Manager) installation machine.
  • NEW! The contents in the Products folder have been moved to the Tabs folder.  If you have shortcuts pointing to the Products folder, you should repoint them to the Tabs folder.

SALESDOC ARCHITECT (END-USER) FUNCTIONALITY CHANGES

NEW! You can now goal seek by MARKUP, either for the entire quote or a particular pricing category.  In addition, we have switched from using Excel’s goal seek function — which uses a trial-and-error methodology to arrive at a resolution — to using a mathematical approach to finding a goal seek resolution, making SalesDoc Architect’s goal seek function faster and more accurate.

UPDATED.  We have added a “date updated” field (as column P) to the parts master report.  You can easily sort this report by “Updated” (and we also recommend sorting by “DateAdded”) to quickly discern the parts that have been added or updated by us.

SALESDOC ARCHITECT (END-USER) FUNCTIONALITY CHANGES

NEW! Last month we added “Element Name” to the Write-In tab as the right-most column.  Element Name can be used to “assign” parts to specific sites or locations, and can be listed on the schedule of equipment and services output by checking the “Show Element Name” checkbox on the schedule of equipment/services options dialog box.  You can also import Element Names via a spreadsheet by listing “Element Name” as the name appearing in the first row of the column containing the Element Name data.

This month, we’ve added a dialog box that will appear when multiple elements are imported into SalesDoc Architect via the Mitel, Nortel or “Excel file with fieldnames in first row” imports.  This dialog box enables you to select a subset of elements to import into a single quote file so that you can, for example, parse out elements from different site locations into separate quote files, then later consolidate them using SalesDoc Architect’s “Consolidate Multiple SalesDoc Architects” feature.

SALESDOC ARCHITECT MANAGER FUNCTIONALITY CHANGES

UPDATED.  We have resolved the issue that some Vista users were having with the Engineering screen blowing up when accessed via the Parts Master.

NEW! Release 2.1.14 of Mitel’s Sales Workbench enables you to quickly export a configuration to SalesDoc Architect simply by pressing the F10 key.  You can then instantly import that configuration into SalesDoc Architect using the CTRL-ALT-M keystroke combination.  For more information on the CTRL-ALT-M function, please see our notes from April’s update.

NEW! Effective with release 2.1.14 of Mitel’s Sales Workbench, multi-site “quote item” descriptions are exported as “Element” descriptions that are imported into SalesDoc Architect’s Element Name column of the Write-In tab.  For more information on the use of the Element Name information, please see the SalesDoc Architect end-user/Manager changes described above.

The 5540 IP Console proposal section has been added to the document library.

NEW! As mentioned above, Element Name as been added to the Write-In tab.  You can also use Element Name on other tabs that you develop, in one of two ways:

Add an “ElementName” rangename anywhere on the tab.  If the user enters information into that cell, SalesDoc Architect will automatically assign that Element Name to all configured parts on that tab.

Use column AW as your Element Name column.  This method works best if you want users to assign different Element Names to parts on the same tab.  However, you cannot use both methods; you must use either the first or the second method as the first method will always overwrite the data entered under the second method.

SPECIAL NOTICE: The Excel-based configuration tabs for Mitel solutions were discontinued at the end of March, 2009.  We encourage clients who have been using the Excel-based tabs to configure Mitel solutions to use Mitel’s Sales Workbench (MSW) tool to configure Mitel solutions, then export the configuration to a CSV file, then import that file into SalesDoc Architect.  All other operations — including pricing, labor/peripheral product configuration and document generation — will work exactly the same.

In June, we will be releasing additional functionality for the MSW/SalesDoc Architect integration.  If you have access to the field trial version of the Mitel Sales Workbench, we are looking for volunteers to give us feedback on this new integration.  If you are interested, please email us at contact@corspro.com.

SALESDOC ARCHITECT (END-USER) FUNCTIONALITY CHANGES

UPDATED! The “Open SalesDoc Architect” button in Microsoft Word has been modified to better combat the issue that some are having with multiple versions of that button being created inexplicably by Word.  If more than one “Open SalesDoc Architect” button appears in Word, you can…

  • Delete all “Open SalesDoc Architect” buttons by running the “DeleteWord2PQButton” macro if you don’t use the “Open SalesDoc Architect” button.  You can run the macro as follows…
    • Word 2007: click the Developer tab — which you may need to make visible by clicking the Office button (upper left), then Word Options (lower right), then Popular (in the left-hand pane), then “Show Developer tab in the ribbon” — then click Macros, then “DeleteWord2PQButton”.
    • Word versions prior to Word 2007: click Tools, Macro, Macros, then “DeleteWord2PQButton”.
    • Reset the “Open SalesDoc Architect” button (which will delete the extra buttons) by running the “AddWord2PQButton” macro.
    • Click the “Open SalesDoc Architect” button.  Each time this button is clicked, SalesDoc Architect will search for and delete all extra “Open SalesDoc Architect” buttons.

  • You can instantly import a configuration from Mitel’s Sales WorkBench (SWB) using the CTRL-ALT-M keystroke combination.  When using this “instant import” function, the following assumptions apply…
    • SalesDoc Architect assumes that you have created a configuration in the SWB and have exported that configuration as an “itemized CSV” file.  Furthermore, your PC allows SWB to place the name and location of the exported file in your Windows registry using the HKEY_LOCAL_MACHINE\SOFTWARE\Mitel\Workbench\Mpt registry key.
    • If you’ve previously imported an SWB configuration into a SalesDoc Architect file, the new configuration will automatically overwrite the data from the previous SWB import.
    • Mitel rebates will now be imported into SalesDoc Architect via the SWB import function.  The “part number” for each rebate will be “Rebate” (or Rebate1, Rebate2, etc., if there is more than one rebate within a single imported configuration).

You can now show grid lines in the body of the schedule of equipment and services.  When you generate the schedule of equipment — either as a standalone schedule or as part of a proposal or other output document — simply click the “Show grid lines” box.  If you wish, you can set your schedules to default to showing the grid lines by clicking the SalesDoc Architect button, then Setup, then “Set pricing schedule defaults.”

SALESDOC ARCHITECT (END-USER) FUNCTIONALITY CHANGES

NEW! You can now goal seek by Price Category, enabling you to target a specific margin or sell price for the parts within that Price Category.  To do so, click on the discount/markup input cell for the Pricing Category against which you’d like to perform the goal seek function, then click the Goal Seek button. If you click on any other cell on the Pricing tab, or the discount/markup input cell is protected, then SalesDoc Architect will assume that you’d like to perform the goal seek against the entire quote and not against a particular Pricing Category.

NEW! We’ve made it much easier to re-import data.  Previously, you had to clear the Write-In tab or zero out the quantities for the previously imported data.  Now, SalesDoc Architect recognizes if you have data from a previous import and prompts you to automatically replace the old import data with the new data.

NEW! The Unit Cost and Price Category columns are now displayed on the Write-In tab, making it easier for you to analyze imported data.

NEW! We’ve increased the number of records that can be shown within a single Price Book search to 65,000.

Returned! We’ve added back the function to warn you if there are one or more items with negative quantities when you click the Filter button on a particular tab.

HELP FILE AND USER GUIDE UPDATES

This month, we have updated the help files for both SalesDoc Architect (the end-user application) and SalesDoc Architect Manager (the application for SalesDoc Architect administrators).  In addition, we have updated the PDF user manuals with tables of contents and bookmarks that make it very easy to navigate amongst the various topics.  Check out the updates by downloading the SalesDoc Architect end-user guide and SalesDoc Architect Manager user guide.

VENDOR CONTENT CHANGES – MITEL

SPECIAL NOTICE: The Excel-based configuration tabs for Mitel solutions will be discontinued at the end of March, 2009.  This February release contains the last updates to those tabs.  However, we will continue to make them available for transition purposes for a period of time.  Starting next month, those clients who are using the Excel-based tabs to configure Mitel solutions should start using Mitel’s Sales Workbench tool to configure Mitel solutions, then export the configuration to a CSV file, then import that file into SalesDoc Architect.  All other operations — including pricing, labor/peripheral product configuration and document generation — will work exactly the same.  Clients who do not use the Excel-based configuration tabs for Mitel solutions will be unaffected.  Clients who are subscribing to the Mitel Excel-based tabs will have their subscription payments reduced accordingly.

Besides adding, discontinuing or updating Mitel parts and associated pricing and engineering data, the following changes have been made…

SALESDOC ARCHITECT (END-USER) FUNCTIONALITY CHANGES

NEW! The Unit Sell Price cell is now unprotected (but not highlighted in blue) on the Write-In tab for items not found in Parts Master, meaning that users can overwrite the formula in that cell if necessary.

NEW! The Vendor Discount Category cell is highlighted with a blue border for items on the Write-In tab that are not found in Parts Master.

UPDATED: The Unit MSRP cell is still unprotected on the Write-In tab for items not found in the Parts Master.  However, the Unit MSRP cells are no longer highlighted in blue.  The reason the Unit MSRP and Unit Sell cells are not highlighted in blue is to draw the user to the Vendor Discount Category cell as the next user input cell following the Description cell (rather than drawing them to the Unit MSRP and Unit Sell cells).

SALESDOC ARCHITECT MANAGER FUNCTIONALITY CHANGES

NEW! Variable data of virtually unlimited length can now be output to Excel forms (the length of variable data that can be output to Word is already virtually unlimited). Previously, variable data was limited to 255 characters for Excel forms.
